Are you the ultimate operational plate spinner?
You know that email everyone assumes someone else is handling? The follow-up action from last week’s meeting that has quietly gone nowhere? The job on the schedule missing a critical piece of information?
You are the person who spots it. More importantly, you are the person who steps up and gets it sorted.
We are recruiting on behalf of an established, fast-growing specialist service provider operating across the UK. Their field teams and fleet of vehicles are constantly on the move, which means there is a lot happening behind the scenes. They need a sharp, proactive Operations & Fleet Coordinator to sit right at the heart of the business, keep all the plates spinning, and ensure the entire operation runs like clockwork.
This is not a passive administration job. We are looking for someone who takes total ownership, asks the right questions, keeps accurate records, chases people when necessary, and gets genuine satisfaction from turning "I thought someone was dealing with that" into "done".
Key Responsibilities
Your main focus will be the daily coordination of field teams and managing the back-office fleet administration to keep the business moving seamlessly:
-
Fleet & Job Coordination: Schedule and book daily operational jobs for field teams, ensuring vehicles are dispatched with the correct equipment and information.
-
Fleet Administration: Manage all back-office servicing for the vehicle fleet, including coordinating MOTs, routine maintenance, repairs, and compliance records.
-
Live Operations Monitoring: Keep a close eye on live job progress, proactively flagging and resolving potential roadblocks before they impact service delivery.
-
Central Inbox & Communication: Take control of the operational inbox, ensuring queries from customers and field staff are answered, delegated, or followed through to completion.
-
CRM & Data Integrity: Maintain precise job management records in the CRM system, ensuring data is accurate and trustworthy.
-
Resource & Onboarding Support: Assist with field team onboarding, PPE, equipment allocation, and operational training records.
-
Process Improvement: Identify operational bottlenecks and suggest practical ways to improve daily workflows.
What We Are Looking For
The right mindset and proactive approach matter more than having done this exact job before, but ideally, you will bring:
-
Operational Experience: Background in a busy coordination, service delivery, or operational role. Experience within field services, facilities management, logistics, maintenance, or engineering is highly desirable.
-
Tenacity & Follow-through: If someone promises information by Tuesday, you notice when it is missing on Wednesday and comfortably chase them up (whether it is a field technician or a senior manager).
-
High Attention to Detail: You take pride in accurate systems, spot inconsistencies quickly, and don't let key actions slip through the cracks.
-
Prioritisation Under Pressure: Able to stay calm, focused, and adaptable when schedules shift or everything seems to happen at once.
-
Strong Communication: Confident, clear, and professional when speaking with clients, field staff, and internal teams over the phone and via email.
What’s on Offer?
-
Salary: £28,000 - £32,000 depending on experience.
-
Ownership & Impact: A crucial position where your work directly impacts day-to-day business success.
-
Growth: Opportunities to develop your role and career as the company continues its expansion.
-
Supportive Environment: Work closely alongside the Operations Manager in a friendly, highly collaborative, and ambitious team.
